Onsite Analytics, Inc. (“Onsite Analytics,” “we,” “us,” or “our”) provides portfolio intelligence software, hardware devices, and related services for multifamily property owners and operators (collectively, the “Services”). This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit www.onsiteanalytics.co, use our applications and devices, or otherwise interact with us.
By using the Services, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with it, please do not use the Services.
1. Scope and our role
This Policy applies to personal information we handle as a controller — for example, information about website visitors, prospective customers, and the account administrators and users of our customers.
When our customers (property owners and operators) use the Services to upload or process information about their properties, units, assets, maintenance records, and personnel, Onsite Analytics generally acts as a processor (or service provider) on that customer’s behalf. In those cases, the customer’s own privacy policy governs that information, and we process it according to our agreement with the customer. If you are an employee, resident, contractor, or other individual associated with one of our customers, please direct privacy requests to that customer.
2. Information we collect
Information you provide to us. We collect information you give us directly, such as when you request a demo, create an account, contact support, or communicate with us. This may include your name, business email address, phone number, company name, job title, and the contents of your messages.
Account and authentication data. When you register, we collect login credentials and profile details needed to provide and secure your account.
Customer and property data. Through your use of the Services, we receive and process data submitted by or on behalf of our customers (referred to as “Customer Content” in our Terms and Conditions), which may include property and unit information, asset and equipment records, maintenance and inspection history, and data captured through our Tags (the hardware components affixed to assets). We process this data to provide the Services as described in our agreement with the relevant customer.
Information collected automatically. When you use the Services, we automatically collect certain technical information, including IP address, device and browser type, operating system, pages viewed, features used, referring URLs, and timestamps. We collect this through cookies and similar technologies (see Section 8).
Information from third parties. We may receive information from business partners, integration providers, and publicly available sources to support sales, security, and service delivery.
3. How we use information
We use personal information to:
Provide, operate, maintain, and improve the Services;
Create and manage accounts and authenticate users;
Respond to demo requests, inquiries, and support tickets;
Process transactions and manage subscriptions and billing;
Monitor, secure, and troubleshoot the Services and prevent fraud or misuse;
Analyze usage to develop new features and improve performance;
Communicate with you about updates, security alerts, and administrative matters;
Send marketing communications where permitted (you may opt out at any time); and
Comply with legal obligations and enforce our agreements.
We may also create and use aggregated or de-identified data — which does not identify you or any individual — for analytics, benchmarking, and to operate and improve the Services. Consistent with our agreements with customers, we may share such aggregated or de-identified data with third parties without identifying the source.
We do not sell personal information.
4. How we share information
We share personal information only as described below:
Service providers. With vendors who perform services on our behalf — such as hosting, analytics, payment processing, and customer support — under contracts that require them to protect the information.
Our customers. Where you are a user associated with a customer account, we share relevant information with that customer’s authorized administrators.
Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.
Legal and safety. When required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Onsite Analytics, our users, or others.
With your consent. For any other purpose disclosed to you with your consent.
5. Data retention
We retain personal information for as long as necessary to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. Customer and property data is retained according to our agreement with the relevant customer. When information is no longer needed, we delete or de-identify it using commercially reasonable measures.
6. Data security
We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These include encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
7. Your rights and choices
Depending on where you live, you may have the right to:
Access the personal information we hold about you;
Request correction of inaccurate information;
Request deletion of your information;
Object to or restrict certain processing;
Request a portable copy of your information; and
Withdraw consent where processing is based on consent.

California residents (CCPA/CPRA). If you are a California resident, you have the right to know what personal information we collect, the right to request deletion, the right to correct inaccurate information, and the right to opt out of any “sale” or “sharing” of personal information. We do not sell or share personal information as those terms are defined under California law. You may submit a request at [privacy@onsiteanalytics.co], and you may use an authorized agent to do so.
EEA/UK residents (GDPR/UK GDPR). If you are located in the European Economic Area or the United Kingdom, our legal bases for processing include performance of a contract, our legitimate interests, your consent, and compliance with legal obligations. You have the right to lodge a complaint with your local data protection authority.
8. Cookies and similar technologies
We use cookies, web beacons, and similar technologies to operate the website, remember your preferences, analyze traffic, and improve the Services. You can control cookies through your browser settings; disabling some cookies may affect how the Services function. Where required, we obtain consent before placing non-essential cookies.
9. International data transfers
We are based in the United States and may process information in the United States and other countries where we or our service providers operate. Where we transfer personal information across borders, we use appropriate safeguards as required by applicable law, such as standard contractual clauses.
10. Children’s privacy
The Services are intended for business use and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us and we will take appropriate steps to delete it.
11. Third-party links and services
The Services may contain links to or integrate with third-party websites and services. We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies.
12. Changes to this Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Services after changes take effect constitutes acceptance of the revised Policy.
